Stock Management & Control – Step 4 – Reporting

There are several options in KashFlow to monitor income from stock you sell, expenditure on stock you purchase, and an overall valuation of the stock you hold.

Income by Sales Code/Product

The Income by Sales Code and Income by Product reports detail the amount of money that you’ve received from your Sales Codes or Products.

Access these reports by going to Reports > Income Reports > Income by Sales Codes / Income by Product.

  • Start Date – Use this to set the date from which invoices should be included
  • End Date – Use this to set the date from which to stop including invoices
  • Invoices – Use this to select paid invoices only, or all invoices that have been issued

When you’re ready, click the Re-Run Report button.

A breakdown of how much each Sales Code/product has made you is displayed as a pie chart.

For a detailed break down click the Download to CSV button. This will detail;

  • Invoice Date/Payment Date
  • Nominal Code
  • Sales Codes/Product Name
  • Invoice Number
  • Line Item Description
  • Customer Code
  • Customer Name
  • Quantity
  • Sale Amount (ex. VAT)

Expenditure by Purchase Code/Sub-Purchase Code

The Expenditure by Purchase Code and Expenditure by Sub-Purchase Code reports detail the amount of money that you’ve spent on your Purchase Codes or Sub-Purchase Code purchases.

Access these reports by going to Reports > Expenditure Reports > Expenditure by Purchase Code / Expenditure by Sub-Purchase Codes.

  • Start Date – Use this to set the date from which purchases should be included
  • End Date – Use this to set the date from which to stop including purchases
  • Invoices – Use this to select paid purchases only, or all purchases that have been issued

When you’re ready, click the Re-Run Report button.

A breakdown of how much each Purchase Code/Sub-Purchase Code has made you is displayed as a pie chart.

For a detailed break down click the Download to CSV button. This will detail;

  • Receipt Date/Payment Date
  • Nominal Code
  • Purchase Code
  • Name
  • Purchase Number
  • Line Item Description
  • Supplier Code
  • Supplier Name
  • Purchase Amount (ex. VAT)

Stock Overview Report

The stock overview report can be used to give you a valuation of stock you currently hold. Access it by going to Reports > General Reports > Stock Overview Report.

Use the tick boxes to decide to include;

  • Orders Only – Only show the items that you have yet to get delivered and the value of these
  • Alerts Only – Only include items that is below your Stock Alert level set in the manage stock levels settings (red and orange coloured alerts).
  • None Ticked – If no boxes are ticked then you will see all your current stock and its value.

When you’re ready, click the Download Report button. The report that’s downloaded will detail the following;

  • Nominal Code of the Sales Code/Sales Code that contains the product
  • Nominal Name of the Sales Code/Sales Code that contains the product
  • Product Code if one is set for the product
  • Product Name
  • Product Description
  • Product Price excluding VAT
  • Quantity you currently have in stock
  • Value of the stock (Quantity you currently hold x Product Price)
  • Pending Deliveries
  • Alert level that you’ve set for this Product/Sales Code
