With New KashFlow there’s been a lot of changes, all of which are detailed on our What’s New & Release Notes for New KashFlow. As a partner, there’s some critical ones that you should be aware of however.
Important Notes before Switching
Now Using Dropbox for Files & Attachments – Files attached to receipts via the classic method (not using dropbox) are no longer supported. If you have files attached via the classic method, you’ll be presented with a modal when you first log in prompting you to migrate your client’s files. You can dismiss this notification and ask your client to create a dropbox account when they next sign in, or sign in to an existing dropbox account. An alternative is to set them up with a dropbox account yourself.
Clients Using Sage Pay – Clients using Sage Pay as their card processor will need to add additional servers to their Sage Pay management console. Do this by logging into your Sage Pay account > From the Administration menu click Account Parameters > Scroll down to section labelled Valid IP Addresses > Add the following;
Switching a Client & Moving to New Pricing
New pricing is only available for accounts using the new user interface. For you or a client to take advantage of the new pricing and packages, the account must first be switched to the new UI.
Switching to New User Interface
To switch a client, you can do that in two ways;
Force the client to switch immediately – You can switch the client immediately by going to IRIS KashFlow Connect > Clients > Click on Clients Name > Edit Details > New User Interface – Switch Immediately. The next time the client logs in, they will be using New KashFlow.
Give the client the option – You can give the client the choice to use new KashFlow or not. Do this by going to IRIS KashFlow Connect > Clients > Click on Clients Name > Edit Details > New User Interface – Give Option to Client. The client will be presented with a page (pictured below) giving them the option to use the new user interface and also details on what’s changed. Please note, for clients that are not introduced through your KashFlow Connect account these options will not be available.
If the client chooses not right now but later decides they do want switch, they can go to https://securedwebapp.com/migrate.asp and switch.
If the client switches and decides that they would like to switch back, please ask them to contact firstname.lastname@example.org. Please be aware that we cannot revert users who have moved over to a lower price.
Please note that once a client has switched to the new user interface there is no way to switch back from within the application. Any requests to switch back must be made via email@example.com. Furthermore, any clients using the new pricing will not be eligible to switch back.
There is also some settings which have been removed or modified from KashFlow. These are documented on the KashFlow Removed & Modified Settings page.
Once an account has been moved over to the new user interface, the new pricing becomes available within IRIS KashFlow Connect and the clients KashFlow account (dependant on if you’ve permitted access to manage subscription).
To upgrade/renew a client on new pricing from within KashFlow connect;
Go to IRIS KashFlow Connect > Clients > Upgrade/Renew. On this page, you can use an existing credit to upgrade/renew the account (please note that existing credits are only valid for the business package and currently can only be purchased for the business package, support for further packages will be available shortly). You can also purchase an annual licence by using the Annual Payment Option > Selecting a Package > Click Extend.
For clients who pay us directly via the manage subscription page;
In new KashFlow, go to Settings > Manage Subscription > Click on Subscribe on the package that suits your client.
