User Permissions

    Hi Duane,

    I'm sure this one might have been suggested and considered a few times but I was just wondering if there were any plans for user permissions? In particular it would be very useful so that staff could add sales invoices without having access to the full accounts.

    Please let me know if it might be considered.

    Hi Jamie,

    This one does come up quite often.

    We've got no plans to do anything about it justr yet though. It's be hugely intensive from the development front because it would need a LOT of different options to be able to please everyone.

    I belong to a charity and really want to begin using kashflow for the accounts. however the issue I am coming up against is that user permissions cannot be set. If at all possible, please can this be done. Liberty software have it but I prefer kashflow

    Hi Koshy,

    As I said above, there are currently no plans to implement this.

    We could string you along and say it's being considered, but we'd rather play it straight!

    I think this is a really important feature.

    I understand what you are saying - in terms of development it's not straight forward to implement, however I think you will lose a lot of business because of this key factor.

    I've been trialling Kashflow for the last few weeks and am very impressed with the overall workings of the system, however having just discovered that you cannot add multiple users I am not seriously reconsidering.

    I would imagine that the majority of your customers are small businesses and are thus less likely to have a dedicated in house accounts team and will often seek the assistance of outsiders to do basic data inputting.

    Without any restrictions on access privileges you leave yourself wide open to error or deliberate abuse of your confidential information.

    I really think you should reconsider such a laid back approach to such a serious feature.

    Other than that I can't fault your product.

    Thanks for your comments.

    We're contacting everyone who takes a trial but doesn't convert to a paying customer (our conversion rate is too low for my liking) to find out exactly why they didn't sign up. I suspect this is going to be a recurring theme.

    If it is, then we'll have to implement it (we'd be silly not to).

    We'd possibly go the route of allowng you to add sub-accounts with specific pre-defined "roles".

    ie:

    Role:
    Data Inputter
    Permission:
    Create new invoices, customers and add payments - no other access.

    I'd be gratefull if some of you that want this functionality could post to this thread with the roles and permissions you'd require.

    Just out of interest why would you want to create pre-defined roles instead of letting users customise completely?

    Ease of use mainly. Most of our customers wouldn't want to go through a load of settings just to give someone else access - especially if they want multiple logins with the same permissions.

    We could ofcourse let you create your own roles too.

    I think it would be good to leave users the option to create completely custom roles - I'm sure a lot of people will apreciate the extra flexibility.

    Here are a couple of my suggestions for pre-defined roles:

    Data Input-
    - Add Customers
    - Add Sales Invoices
    - Add Purchase Orders
    - Add Payments

    Project Manager -
    - Add customers
    - Add and edit the projects and quotes sections
    - View customer account status
    - No access to other financial information

    Dear Duane,

    Good to see you are now looking into this.

    Here is a suggestion with tick boxes next to them. You could even charge a small fee for each new data inputter (like a licence) but would suggest that it be much cheaper than a full licence if you want take up.

    Role

    Data Inputter 1

    Permissions

    Create/Edit Customers
    Create new invoices
    Create/Edit Suppliers
    Create/edit receipts
    Create/edit Projects
    Edit 'Bank' area - This is very important as one of my collaborators once made an error in this area that costs me 2 hours to fix
    Access to settings
    Create reports

    I agree that this would be a great feature, but appreciate the programming complexities. I would point the team to weberp, which does have this functionality, however, that is php, not asp!

    Maybe make is as simple as:
    Admin
    Sales
    Purchasing
    Accountant
    etc
    to start with!

    I'd add a view only facility, for accountants and others to use.

    I strongly support introducing the functionality of allowing multiple users with separate log-ins. Without it KF feels like an excellent amateur system rather than a fully-fledged professional business tool.

    Your comments imply that you will only consider implementing this based on the business that you're losing. There are a lot of users who are already subscribing because they believe in the product and its development, and are requesting this facility. Do your exisiting customers not matter as much?

    Ofcourse they do. New and existing customers are worth the same amount, finacially, to us - so they're opinions matter just as much.

    What happens when say a franchise wants to use KF for its biz? 1 admin and say 10 franchisees?

    Just registered to add a "me too" to this request. I emailed Duane about this just over a year ago, and it's the main reason we're still not using Kashflow.

    I appreciate that it's a non-trivial task, but a proper permissions system is fundamental for something that is otherwise such a natural multi-user product.

    The product is called http://www.kashguard.co.uk. It's free for one user, and then £2.99 per month for each additional user. KashGuard also provides an audit trail allowing you to review what actions your users have been performing.
